Refunds, deposits, and missed sittings

These rules apply to sittings listed on this site: full revenue readings, store walkthroughs, pack mix advisory, and quarterly sittings. We do not sell software licences, physical goods, or course recordings.

Eligibility

A refund is available when we cancel a sitting, when you cancel within the windows below, or when we agree the files you sent cannot be read and no letter will be written. Personal change of mind after a sitting has begun is not a full refund.

Timeframes

• Full revenue reading. Deposit is refundable in full if you cancel at least ten working days before day one. Between nine and three working days, half the deposit is returned. Inside three working days the deposit is kept.
• Walkthrough, pack mix, quarterly sitting. Cancel at least five working days ahead for a full refund of any sum already paid. Inside five working days we keep 50% of the sitting fee if we cannot fill the room.

Full or partial refunds

If we have already prepared the file list and marked exports, we may keep a preparation fee of RM 400 and return the rest of any unused sitting fee. If the letter has been delivered, the sitting fee is not refunded.

Non-refundable items

Bank transfer charges, hotel and travel you booked, and printed copies you requested after the letter are not refunded. Extra half-days already worked are billed even if you later cancel remaining dates.

Process

Write to hello@file-grovehub.click with the sitting dates and whether you want to cancel or reschedule. We confirm in writing. Refunds are returned to the original payer by bank transfer within fourteen working days after we agree the amount. We do not send cash.

Rescheduling

One reschedule to a later open slot is allowed without penalty if you give five working days’ notice. A second reschedule is treated as a cancellation under the windows above.

No-shows

If nobody from your side joins the first morning and we have not heard from you, the sitting is treated as cancelled inside three working days. The deposit (or 50% of a shorter sitting’s fee) is kept.

Work already started

Once day one has begun, fees for that day are earned. Remaining unused days can be discussed; unused days after a stop at lunch on day one may be partly returned, minus preparation.

Exceptions

If a reader is ill, we offer new dates or a full refund of sums paid for the unused sitting. If a storm or public order event closes George Town access, video substitution is offered at the same fee; you may refuse and take a refund of unused days.
